Your details, handled properly.
What we collect when you use this website, why, and what you can ask us to do about it. In plain English.
Who we are
This website is run by [Company name] trading as Keystone Systems, company number [company number], registered address [registered address]. We are the "controller" of the personal information described here, which means we decide how it is used.
Questions about your data? Email info@keystone-systems.co.uk.
What we collect
Only what you choose to give us in the area check form:
- your business name
- the area or town you work in
- your email address
- your phone number, if you choose to give it
If you email or call us instead, we'll have whatever you include, such as your name and your message.
The lost jobs calculator runs entirely in your browser. The numbers you type into it are never sent to us or stored.
Why we use it
To reply to you, check whether your area is available and prepare the free audit you asked for. Our lawful basis is legitimate interests: you've asked us to get in touch, and we only use your details for that. We don't sell your details, share them for marketing or add you to a mailing list.
Who else handles it
- FormSubmit (formsubmit.co) delivers form messages to our email inbox. It acts as our processor. [Check FormSubmit's current privacy terms, including where it processes data.]
- Google provides our email inbox (Gmail), so messages you send are stored there.
- Google Fonts: this site loads its fonts from Google, so your browser connects to Google's servers, which receive your IP address.
- Our website host [e.g. Cloudflare, once the site is live] may keep short-term technical logs, such as IP addresses, to keep the site secure.
Some of these providers may process data outside the UK. Where they do, we rely on the safeguards they put in place, such as standard contractual clauses.
Cookies and tracking
This site sets no cookies and uses no analytics, advertising pixels or tracking. The only thing it keeps in your browser is a small note (in "session storage", not a cookie) so the logo intro plays once per visit. It's never sent to us and is cleared when you close the tab.
How long we keep it
If no work goes ahead, we delete your enquiry within 12 months. If we do work together, we keep what we need for as long as the work lasts, and then as long as the law requires for business and tax records. [Confirm these periods.]
Your rights
You can ask us to:
- give you a copy of the information we hold about you (access)
- correct anything that's wrong
- delete your information
- stop using it (objection), or limit how we use it
Email info@keystone-systems.co.uk and we'll reply within one month. It's free.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
